DME Coordinator / Athletic Trainer Certified

Position Title: DME Coordinator

Reports to: Billing Director

Requirements:

  • High school diploma or GED certificate recipient

  • NATA Board Certification

  • License with the Kentucky Board of Medical Licensure– Athletic Trainer

  • CPR for Healthcare Providers by the American Heart Association or equivalent

  • Maintain 50 CEU credits per 2-year period

  • Strong ethical and moral character references

  • Good computer skills

  • Training or courses in materials management/vendor negotiations

  • Willingness to support and encourage co-workers

Preferred

  • Experience in materials management

  • Financial experience in DME or Accounts Receivable

  • Clinical office experience

Duties:

  • Maintains appropriate inventory levels for DME products. Monitors pricing and quality and ensures that excess stock is not present and that inventory “loss” is minimized. Places orders direct from manufacturing companies and wholesale vendors for best cost and shipping prices.

  • Checks inventory in and out as appropriate to prevent running out of products.

  • Ensures adequate stock is maintained in all inventory locations to prevent running out of products.

  • Assists with developing and revising DME policies and procedures. Assists in educating other appropriate staff with regards to these policies.

  • Is readily available and accessible to respond to physician and staff requests for DME fitting especially for knee bracing.

  • Meets with patients (from the clinic and physical therapy clinic) to educate and explain the process of knee bracing especially with OA Braces, measures the patient and schedules an appointment to fit the brace once it is authorized, ordered and received.

  • Receives shipments, unpacks boxes, prints label for each item, marks with size labels, and stocks in proper area.

  • Pre-authorizes DME with insurance companies as a service to patients. Educates patients regarding their individual product’s pricing, insurance coverage and patient financial responsibility.

  • Refers patients to the Accounts Receivable Department to arrange for alternative payment arrangements for patients who are unable to pay for DME.

  • Maintains a thorough working knowledge of the DME product library. Able to answer provider and patient questions competently.

  • Fits DME products according to the provider’s prescription and DME manufacturer’s specifications for the maximum benefit of the patient.

  • Escorts full (private) pay patients, cash sales (and Medicare non covered items) to the front desk to pay for DME products dispensed in the clinic.

  • Responds to intra-operative surgery center requests for DME products promptly and effectively, making sure the DME closet is stocked each day according to provider needs for that day.

  • Completes appropriate “paperwork” related to DME product such as letters of medical necessity, requests from insurance companies and provides invoices to A/R when requested. Ensures that all products that are dispensed are accounted for and billed.

  • Obtains patient signatures on ABN forms and merchandise receipt forms, as appropriate and fills all appropriate boxes on the superbill.

  • Ensures that all billing forms are routinely submitted to Accounts Receivable within 24 hours.

  • “Trouble-shoots” all processes related to DME program.

  • Keeps the Operations Manager or ED informed of all issues of concern related to DME program.

  • Maintains and revises physician protocols related to DME.

  • Ensures appropriate and detailed accounting of merchandise and credits.

  • Follows up on any missing demographic or billing information that is necessary for completing accurate processing of charges.

  • Processes and approves invoices for payment matching packing slips to invoices and submitting them to A/P department for payment.

  • Serves as liaison with DME vendor representatives.

  • Athletic Sports Coverage as needed

  • Assist in obtaining research data as needed by the physician

  • Other duties as assigned or are necessary to ensure the success of E&B.

  • Compliance with HIPAA, OSHA and Red Flag Rules

  • Audit physician documentation for medical necessity details
