Surgery Scheduler

Position Title: Surgery Scheduler

Reports to: Office Manager

Job Location: Multiple locations on-site

This position features:

Duties:

  • Complete all surgery verification, authorization/precertification to improve customer satisfaction.
  • Contacts insurance company for authorization/precertification requirement, initiate request and deliver pertinent medical records, i.e., chart notes, diagnostic imaging reports, and op notes, to expedite process; obtains patient eligibility and benefits via phone (live/automated) or online portal.

  • Responsible for scheduling appointments if patient is being referred to a specialist

  • Responsible for scheduling any diagnostic testing

  • Responsible for scheduling all aspects of the patient’s surgery including labs, diagnostic testing.

  • Educates the patient on all requirements to proceed with surgery.

  • Schedules H & P’s, post op appointments for patient.

  • Makes any necessary changes to schedules and communicates such.

  • Confirms proper implants, hardware or specific equipment with appropriate rep.

  • Answers calls in a prompt and efficient manner.

  • Obtains all vital information to complete pre-authorization from insurance company.

  • Follows up on pre-authorizations for procedures and MRIs

  • Confirms all eligible appointments and scans all pertinent documentation to patient’s chart.

  • Notates pertinent information in the system regarding patient insurance verification/pre-certification status and patient financial responsibility.

  • Notifies front desk staff and clinical team of any problematic insurance issue that may lead to clinic delay.

  • Provides patient collection advice and benefit interpretations for staff and patients when necessary.

  • Displays the highest level of customer service, attentiveness and consideration possible in all surgery cases

  • Follows up with physician after surgery to ensure surgical fee tickets are completed.

  • Coordinates the physician’s schedules as assigned

  • Coordinates hospital inpatient list as assigned

  • Communicates schedule with surgical equipment representatives

  • Complies with HIPAA and OSHA policies

Qualifications and Requirements:

  • Ability to promote favorable facility image with physicians, patients, hospitals, other physician offices, and general public
  • Ability to make decisions and solve problems
  • Ability to triage patient care questions related to post-op, post-injury, and insurance benefits
  • Work effectively as a team member with physicians and other staff
  • Appropriately interact with patients, families, and others
  • Ability to flexibly respond to changing demands
  • Must have a flexible work schedule
  • High school diploma or GED certificate
  • Excellent typing skills
  • Ability to balance numerous demands and conflicting priorities.
  • Ability to work within a team environment and to effectively contribute to patient planning.
  • Demonstrate strong communication skills and ability to adapt communication styles to meet the needs of the specific patients and other health care team members.
  • Knowledge of medical terminology
  • Sound judgment.
  • Supports a respectful, team-oriented workplace.
  • Willingness to support and encourage co-workers
  • Medical transcription experience preferred
